The POS passcode adds an extra layer of control by distinguishing between two types of users, Base Users and Active Users. Base Users are staff who log in with an email and password, while Active Users are staff who access the system using a passcode. This is an optional feature that can be enabled in your outlet settings and is designed for fast, secure user switching.
To activate the POS passcodes feature, it is required to set a passcode for all admins and the owner of the team. A Base User must have a role that is equal to or higher than the Active User’s role; otherwise, the passcode will not work. For example, if the Base User’s role is Staff, a passcode assigned to a Manager or higher role will not be accepted.
Once enabled, a passcode is required to access the POS system. Depending on the Active User’s role, access to certain functions may be limited—helping maintain operational control without slowing down day-to-day tasks.
‼️ Note: This feature is for access control only—it does not track which user performs each action.
